Team, hours and time off

Profiles and portraits, who does which service, per-person hours, and time off.

The Team screen is where the people go: who they are, what they do, when they work, and when they are away. Clients booking an appointment choose a specialist from it; an event request has no specialist step.

Profiles

Each team member has a name, a title, a short bio, a colour that marks their bookings on the schedule, and a portrait. A portrait is worth adding — the client choosing a specialist is choosing a person. Team members without one show their initials, which is fine too.

Who does what

Every service lists the team members who offer it. A client booking an appointment who picks a service sees only those people, plus “First available”, which gives the booking to whoever is free at the chosen time. An event request skips that step: it is filed under your first team member and nobody is named to the client.

Hours and time off

  • Business hours are the outer limit. Per-person hours live inside them — a stylist who works Tuesday to Saturday is simply not offered on Monday.
  • Time off is a date range with an optional reason, for one person or for everyone. For appointments, nothing new can be booked in it — the page stops offering those times. Event requests are not checked against time off: a request can still arrive for a day you are away, and confirming it is your call. The range is shaded on the day board, so a booking already inside it stands out, and on the day itself the overview counts it as a conflict.

Google Calendar

In Settings, under Integrations and data, you can connect a team member’s Google Calendar. Busy times on that Google account’s main calendar keep online bookings off them, and a client moving a booking too; Primsy sees only when they are busy, never what the event is, and does not store busy times. Bookings you add yourself are not checked against Google.

Primsy also creates a calendar called Primsy bookings in that Google account and keeps one event there for each of their bookings: added when confirmed, moved when moved, removed when cancelled, with the service, the client’s name and, for visits, the address. If Google can’t be reached, booking carries on without it and Settings shows the problem. Disconnecting stops both; the Primsy bookings calendar stays in the Google account.

Online appointments (Google Meet)

A service can be an online appointment: tick Online appointment (Google Meet) when you edit it under Services. A booking made only of online services asks the client for no address, and its event in the team member’s Primsy bookings calendar gets its own Google Meet link, so that team member needs Google Calendar connected; until they do, their clients get no link. The client’s confirmation, reminder and any notice that the booking moved carry the link, by email and, if they chose texts, by text, and so does the page those messages link to. If the link isn’t ready when an email goes, the email says so, and once Google makes it, it is on that page, and in the reminder if it is ready by then; a booking moved to another team member gets a new link, which reaches the client the same way. Disconnecting a team member’s Google Calendar takes the links off their bookings, and their clients are asked to contact you. At the appointment time your client opens the link and asks to join, and the team member lets them in from the meeting. A booking that mixes online and in-person services is in person. Switching a service off later leaves bookings already made online as they are.
