Bookings
Your schedule
The day board, walk-ins, event requests to confirm, and recording what happened.
The console is where the day happens: what is next, who is coming, requests waiting on you, and the bookings that need an outcome recorded.
The screens
- Overview — today at a glance and the one thing that needs you next.
- Schedule — the day board by team member, with every booking’s details a tap away: contact, service, price, notes, and the actions below.
- Needs an outcome — past bookings that have not been marked completed or no-show yet.
A booking’s life
| Status | Meaning |
|---|---|
| Requested | An event request the client sent. Nothing is held until you confirm it. |
| Confirmed | On the schedule. The time is protected and the client has their link. |
| Completed | It happened. Marking it adds the price to the client’s completed booking value on the client list. |
| No-show | It did not. The outcome stays on the booking, the review invitation closes, and nothing is charged. |
| Cancelled | By you, by the client, or a request you declined. Primsy records which; nobody is asked for a reason. |
Walk-ins and phone bookings
The Add button on the schedule books someone who is standing at the counter or on the phone: service, person, time, name and mobile number. The email is optional here. If you type it, the client gets the same confirmation and reminder an online booking gets; if you leave it blank, no email is sent for that booking — Primsy never guesses an address from an earlier visit. Why that matters is on Who gets the message.
Repeat visits and Book again
When you add an appointment you can repeat it every week, or every 2, 3, 4, 5, 6 or 8 weeks, for up to 12 visits at the same time with the same team member. Each visit is an ordinary booking. A visit whose time is taken is skipped and listed; the others are still booked. If you typed their email, the client gets one confirmation listing every visit, then a reminder before each, with its own link to move or cancel it.
From any future visit in a series, Cancel this and later visits cancels it and every later one that is still booked; if email notifications are on, a client with an email on the booking gets one email listing them. If you choose First available, the team member who takes the first visit keeps the rest. A time that does not exist that day, or happens twice, because the clocks change is skipped and listed. Book again, on any booking, opens a new one for the same client, service and team member, four weeks later at the same time; change anything before you book. Repeat visits are for appointments: an event date is agreed one at a time.
The waitlist
On the day view, Waitlist for this day lists who is waiting for a time that day: the part of the day, the services and team member they want, and their number and email. Primsy emails them itself when a booking that day is cancelled or moved; see How clients book. Take off removes someone without telling them. No offers go out while online booking is paused or your booking page is closed for your plan. A day’s waitlist holds up to 50 people, and entries are deleted within three days after the day they were for.
Confirming event requests
A request arrives with the date, an arrival window — pickup details for a bakery order — a guest count for gatherings, and notes. Two things have to be in place before Confirm goes through: for mobile event trades, the venue address; and if your business takes a deposit, the deposit must be recorded as received or waived on the booking — Primsy will not confirm around an unpaid deposit by accident. Confirm, and the client is told the date is set; decline, and they are told that too.
Recording what happened
After the appointment, mark it completed — one tap — or a no-show, which asks you to confirm first. The outcome stays on that booking; completed bookings add up to the client’s completed booking value on the client list, where the visit count and the latest visit come from every non-cancelled booking, a no-show or an upcoming one included. The review invitation appears on the client’s link once the appointment has ended (or you mark it completed), and closes if you mark a no-show.
