Your client list

How clients are grouped, notes, and downloading your bookings and clients as spreadsheets.

Every person who books gets a record in your client list: how many bookings they have had, their latest booking, what their completed bookings add up to, and the notes you keep. It is your list — not a marketplace’s — and you can download it any time.

How clients are grouped

Records are grouped by phone number within your business. Each record shows a visit count (every booking except a cancellation — a no-show still counts as one), the latest service and its date, what their completed bookings add up to, and your notes. The bookings themselves live on the schedule. Because a number is not always one person, grouping never decides who receives a message — see Who gets the message.

Notes

Each record has a notes field for what you want to remember: preferences, how they like the chair, the thing to ask about next time. Notes never appear on the booking page or in any message, and they are not in the exports yet — the bookings file carries the note a client left on a booking and your private note on that booking, not the notes on the client’s record. Keep health details out of notes — the privacy page says why.

Importing your list from a spreadsheet

Moving from another app or a spreadsheet? On the Clients screen, choose Import from a spreadsheet and pick a CSV file. Each row needs a name (or a first and last name) and a phone number; an email and notes come along if the file has them. Primsy finds the columns by their headings, and you can change its guess. Before anything is added you see how many clients will be added and which rows will be skipped, row by row, and why: no name, no phone number, a number that is not a phone number, a number that appears twice in the file, or a client already in your list.

A client already in your list is never changed by an import, even if the file spells their name differently. A US number is matched however it is written, with or without the +1, and so is a client who books later with it. Importing a client does not sign them up for texts: that is their choice, on your booking page. Names are kept to 80 characters and notes to 500, and the preview says when one was cut. A file whose quotes do not match up is refused, with the row to fix. A file can be up to 700 KB and 5,000 rows; split a bigger list and import each part.

Downloading your bookings and clients

From Settings you can export your clients and your bookings as spreadsheet files (CSV). The clients file carries name, phone, email, number of bookings and the date first seen. The bookings file carries the reference, date and times, status, client contact, team member, service, price, how it was booked, where an online booking came from, the address, the note the client left, their answers to your questions and your private note on that booking. Each file stops at 5,000 rows, and neither includes the notes on a client’s record or payment records yet. The export is for you — to move to another tool, to keep your own copy, or just to look at the year. Primsy does not lock your list in. Export is on every plan.
